How to manage walk-ins and bookings at the same time in a barbershop

How Malaysian barbershops run walk-ins and bookings together without clashes. Use one board, give bookings a grace period, cap each barber's day and show walk-ins their real wait.

Short answer: Put walk-ins and bookings on one board, per barber, so the counter always sees both. Then set four simple rules. Booked customers get a short grace period. Each barber has a daily limit. Walk-ins see their real wait. Customers can choose "any barber". Most clashes happen because bookings live in a WhatsApp chat or a paper book that the counter can't see.

Why do walk-ins and bookings clash?

Common reasons in Malaysian barbershops:

  • Bookings come in on WhatsApp, walk-ins are written in a paper book, and the two are never merged.
  • A walk-in takes a chair five minutes before a booked customer arrives.
  • Walk-ins leave because nobody can tell them how long the wait is.
  • One popular barber is overbooked while another sits idle.

All four have the same cause. There is no single view of who is next for each chair.

Step 1: Put everything on one board

Use one list per barber that shows both booked slots and walk-ins in order. It can be a whiteboard, a shared sheet or a queue app. The point is that the counter never has to check two places.

In Meikigo, the counter tablet shows a column for each barber, with walk-ins and bookings together. Customers who join from the shop's QR code appear on the board straight away. Nobody has to type them in.

Step 2: Give bookings a grace period, then move on

Pick a grace period, such as 5 minutes, and tell customers about it. If a booked customer is late beyond it, serve the next walk-in and fit the booked customer in at the next gap. Mark real no-shows, so you can see which regulars make a habit of it.

Step 3: Cap each barber's day

Set a daily limit for each barber and a last-entry time for walk-ins. That way the queue never promises more cuts than your barbers can finish before closing.

In Meikigo, you can set a daily capacity for each barber, how far ahead customers can book, closed days, and a cut-off for the last walk-in number. Two bookings can't overlap for the same barber.

Step 4: Show walk-ins their real wait

People will wait 30 minutes if they know it is 30 minutes. They leave when they don't know. Give walk-ins a number and an estimate. Once they know the wait, they can go for teh tarik and come back.

In Meikigo, the customer's ticket page shows how many people are ahead of them and an estimated wait in minutes.

Step 5: Offer "any barber"

Many walk-ins don't mind who cuts their hair. An "any barber" option spreads the queue across the team, so one barber isn't swamped while another waits.

In Meikigo, "any barber" assigns the customer to a barber who is free and still under their daily limit.

Step 6: Move WhatsApp bookings onto the board

Keep WhatsApp for questions. Send booking requests to a QR or link that writes straight onto the board. Every booking a person has to copy across by hand is a chance for a clash. See how QR booking works without an app.

A simple daily routine

  1. Before opening: check each barber's bookings and daily limits.
  2. During the day: add every walk-in to the board, with no exceptions.
  3. Rush hours: send walk-ins who chose "any barber" to whoever is free next.
  4. After closing: look at no-shows and the busiest hours, and adjust tomorrow's limits.

Honest limits

  • Meikigo does not send "your turn is coming" messages. Customers check their ticket page.
  • There is no offline mode. If the internet drops, keep a paper list and add the customers to the board when you are back online.

Frequently asked questions

Should booked customers go before walk-ins?

Yes, if they arrive within a short grace period of their slot. After the grace period, serve the next walk-in and fit the late customer in at the next free gap. Tell customers this rule up front.

How do I stop walk-ins from taking a booked chair?

Put walk-ins and bookings on the same board, per barber. When the counter can see that a barber has a booking at 3:00, a walk-in arriving at 2:50 goes to another barber or waits.

How do I tell walk-ins how long they will wait?

Use a queue that counts the people ahead and estimates wait time from service lengths. In Meikigo, walk-ins see how many people are ahead of them and an estimated wait on their ticket page.

Can WhatsApp bookings work alongside walk-ins?

They can, but someone has to copy every WhatsApp booking onto the board. Most clashes happen because a booking lives in a chat and the counter can't see it. A QR booking page that writes straight to the board removes that step.
